Tracking Your Federal Refund: A Step-by-Step Guide

For many of our clients, filing the return is just step one; the real anticipation begins while waiting for the refund to hit the bank account. Whether you are a local business owner here in the Dallas-Fort Worth area or an expatriate client filing from abroad, the goal is always the same: getting your funds returned to you securely and quickly.

To that end, the IRS has aggressively moved away from paper checks to improve security and efficiency. Direct deposit is now the standard, significantly reducing the risk of mail theft and cutting down processing times. Even for taxpayers without traditional bank accounts, options like prepaid debit cards have replaced the slow-moving paper check system.

Using the Official Online Tracker

If we have already finalized and filed your federal return, you don’t need to guess when the funds will arrive. The IRS provides a dedicated tool for this exact purpose.

The Where’s My Refund? tool is the most reliable source for your refund status. Whether your refund is being deposited into a single account or split across several, this system offers near real-time visibility, updated once every 24 hours (usually overnight).

When Can You Check?

Timing depends on how the return was submitted:

  • E-file: Status information is generally available 24 hours after the IRS acknowledges receipt.
  • Paper returns: You may need to wait up to four weeks after mailing before the system reflects your status.

Most taxpayers who e-file and choose direct deposit receive their refunds within 21 days. However, accuracy is key when checking the status.

Required Information

To protect your privacy, the system requires specific data points to verify your identity. Please have your copy of the tax return we prepared for you handy to ensure the numbers match exactly. You will need to enter:

  • Your Social Security Number (or ITIN),

  • The tax year in question (2025, 2024, or 2023),

  • The exact filing status used on the return (Single, Married Filing Jointly, etc.), and

  • The exact whole-dollar amount of the refund shown on your return.

Understanding the Status Messages

Once verified, the tool will display one of three stages:

  1. Return Received: The IRS has your return and is currently processing it.
  2. Refund Approved: Processing is complete, and a direct deposit or check release date has been scheduled.
  3. Refund Sent: The funds are on their way. Note that it may take your bank up to 5 days to credit the funds to your account after the IRS releases them.

Troubleshooting and Mobile Access

If your refund seems delayed, Where’s My Refund? will often provide links to specific information regarding your account. If you do not receive your funds within 28 days of the mailed date listed in the tool, the system allows you to initiate a refund trace online.

For clients who prefer mobile access, the IRS2Go app is a free, secure alternative available for Apple and Android devices. Additionally, the online tool is compatible with Job Access with Speech (JAWS) screen readers for visually impaired taxpayers.

Please remember that calling the IRS directly is rarely necessary unless the online tool specifically instructs you to do so.
